Your mission
We are seeking a proactive, bilingual individual fluent in German and English, who will support the management in day-to-day business operations. As the Chief of Staff / Executive Assistant to the CEO, you will be instrumental in optimizing time and facilitating seamless operations. The ideal candidate will excel in managing multiple priorities, strategic initiatives, and ensuring accountability across the organization. Additionally, strong problem-solving skills, proficiency in Excel, and a solid understanding of finance and business acumen are essential.

Key Responsibilities:
Administrative Support:
  • Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and edit correspondence, communications, presentations, evaluations, and reports.
  • Handle incoming and outgoing communications on behalf of the CEO.
  • Organize and coordinate executive meetings, including preparing agendas, taking minutes, and following up on action items.
  • Perform general secretarial tasks such as answering calls, managing correspondence, and maintaining records.
Strategic and Operational Support:
  • Serve as the primary point of contact between the CEO and internal/external stakeholders.
  • Coordinate and oversee major projects, ensuring alignment with the CEO’s vision and company goals.
  • Monitor and track progress on strategic initiatives and key performance indicators (KPIs).
  • Facilitate cross-departmental collaboration to ensure seamless execution of company objectives.
Leadership and Problem-Solving:
  • Act as a trusted advisor to the CEO, providing insights and recommendations based on analysis and research.
  • Identify and resolve issues promptly, ensuring the CEO is informed of any critical developments.
  • Drive the implementation of executive directives and ensure accountability across the organization.
  • Lead special projects and initiatives as assigned by the CEO, delivering results within specified timelines.
Communication and Liaison:
  • Represent the CEO in meetings and communications, ensuring the CEO’s presence and influence across all levels of the organization.
  • Build and maintain strong relationships with key stakeholders, including board members, senior executives, and external partners.
  • Communicate effectively with internal teams to disseminate information and facilitate collaboration.
Your profile
  • Previous professional experience as an assistant or in similar roles.
  • Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel) and other relevant software.
  • Excellent written and verbal communication skills in both German and English.
  • Strong organizational skills and attention to detail.
  • Ability to work autonomously with a high degree of accountability and discretion.
  • Ability to prioritize tasks and manage time effectively.
  • Problem-solving abilities and a proactive approach to tasks.
  • High level of responsibility and discretion.
  • Understanding of finance and business acumen.
